The Workday ERP System was approved by the Board of Trustees on September 12, 2023. South Texas College will transition from Banner to Workday, a cloud-based Enterprise Resource Planning (ERP) system, in the upcoming five years. The go-live deployment date for Human Resources and Finance is scheduled for January 2025, followed by Student in early 2026.

With such a big impact, it was important that an ERP project name was selected. Any employee who was part of the ERP research and selection process was asked to submit an ERP project name. This same group was then asked to vote for their top project names, followed by Cabinet’s final project name selection and logo creation. On October 19, 2023, a College-Wide ERP Kickoff was held in order to announce the following:

What is an ERP?

Enterprise Resource Planning (ERP) streamlines business processes - human capital management, finance, student information system, etc. - into one unified system so the various aspects of a business can be analyzed as a whole.

The ERP software uses AI or machine learning to make sense of vast amounts of data. These systems often rely on a shared database with access to multiple departments within an institution. This database allows various departments to exchange information and eliminate paperwork.

What is Workday?

Workday is a cloud-based enterprise resource planning (ERP) system that will be replacing our Banner system. Workday is one of the leading ERP systems in the market, used by hundreds of corporations, universities, and colleges. Workday will transform how the College delivers essential business services and provides automated seamless end-to-end experiences for faculty, staff, and students.

Why is South Texas College making this change?

STC is reimagining the way college business is conducted to simplify, transform, and streamline our HR, Finance, Recruiting, and Student processes to maximize productivity and employee satisfaction. Our current system, Banner, is outdated and cumbersome and requires us to have many independent administrative systems that have related data that do not “talk to each other.” We need to become more agile, efficient, and modern to better support 21st century higher education. The transition to Workday will help us do this.

Implementing Workday will transform how STC delivers essential business services by providing a more scalable platform. Workday will make many daily and weekly tasks more streamlined for both end-users and for those employees who use college data to perform their job functions. Workday will enable operational efficiencies, reduce employee burnout and allow us to create sustainable processes. As a result, the college will be able to standardize, automate, and centrally manage current HR, payroll, procurement, budgeting, and other student processes that are currently manually operated.

Who will be impacted by Workday?

All staff, faculty, student employees, and students will be included in the transition to Workday and benefit from this highly intuitive and inclusive system. Employees will use Workday to select and manage their benefits, enter and track their time, keep tabs on their leave balance, access their compensation, view their career growth development and much more. Dual Enrollment Students, Continuing Education Students, and regular Students will all benefit from Workday’s streamlined academic planning, registration, and access to financial insights.

What are some examples of how an employee will use Workday?

Workday is a powerful, all-in-one inclusive tool that will enable STC to bring together a host of HR, Finance, and Recruiting functionalities into one system. Workday will provide self-service functionality and ease-of-use, allowing employees to manage their personal employee information, conduct job-related tasks much easier and much more quickly than they can today. Depending on your job responsibilities and/or employee classification, below are some examples of how employees will use Workday.

  • Select and manage applicable benefits
  • View compensation
  • Input time worked
  • Submit expense reports
  • Request time off
  • Update personal data such as contact information
  • Choose preferred name, as well as ethnicity and gender identity
  • View paystubs, tax elections and other employee contact information
  • View performance management and development evaluations
  • Get insight into career development opportunities and track succession planning
  • Enter purchase requisitions and track the progress to the final PO or contract
  • Track spending data and create reports as needed

All this, plus much more will be accessible via one single system – Workday.
